Logistics provider: driver check-in voice agent
A dispatch voice agent integrated with the transport and yard management systems, multilingual, with hands-free operation over headset for drivers on the move.
The typical starting point.
At a busy distribution yard, drivers arriving to check in can wait a long time for basic dock guidance during shift peaks. The dispatch desk is often a queue: one phone line, a few dispatchers handling radio and phone at once. On busy shifts the bottleneck is not the docks or the trucks but someone available to talk.
SMS check-in tools typically cover only some fleets and do not handle exceptions, and self-service kiosks at the gate see many drivers walk to the dispatch window anyway. Drivers want a conversation, not a form, especially when something has gone slightly wrong.
Customer expectations on dock turnaround keep tightening, and driver retention is a board-level priority, so dispatch responsiveness directly affects both revenue and workforce.
How Klivo approaches it.
Klivo ships a voice dispatch agent integrated with the transport management system, the yard management system and WhatsApp notifications. It handles check-in, dock assignment, exception triage and consignee updates, in multiple languages with mid-call switching.

Live dock allocation
Dock assignment is computed in real time from current yard state, shipment priority and the driver's appointment window. The agent can reassign a dock mid-call if a higher-priority load arrives, and changes propagate to the shipper's appointment record.
Hands-free driver experience
Drivers talk over a Bluetooth headset while maneuvering. Real-time interruption handling is tuned for cab noise, and the conversation design follows how drivers actually phrase check-ins rather than scripted dispatcher language.
Exception routing with full context
For calls involving a true exception (wrong paperwork, damaged seal, missing appointment), the agent routes to a live dispatcher with a structured packet: driver ID, shipment ID, prior conversation and the detected issue.
Consignee-side WhatsApp updates
The same event stream that drives dock assignment can update the consignee on WhatsApp with tracking and expected unload time, reducing "where is my load" calls to customer service.
What this deployment is designed to achieve.
Drivers check in and get a dock without waiting on a phone line. Dispatchers spend their shift on real exceptions instead of routine calls, and shippers and consignees see accurate, timely updates.
